Refund Policy & Booking Terms

XY-Trip Advisor aims to provide clear and transparent booking terms so guests understand the conditions of a tailor-made journey before travel.

Assumption of Risk

Travel may involve risks including force majeure, civil unrest, terrorism, varying road and facility standards, high altitude, physical exertion and limited access to medical or evacuation services in remote areas. By booking, you acknowledge and voluntarily accept the inherent risks of travel.

Release of Liability

Our pricing is based on the traveller’s acceptance of these risk and liability provisions. To the maximum extent permitted by law, you accept responsibility for risks arising from participation in the journey, except where liability cannot lawfully be excluded.

Itinerary and Quotation Validity

We work to keep information accurate, but itineraries may change because of flight changes, policy adjustments or other circumstances. Quotations are based on costs and exchange rates at the time of enquiry and become effective after booking confirmation.

Booking and Deposit

A 20% deposit of the total tour price is required to confirm a booking. The remaining balance must be paid at least 60 days before departure. Bookings made within 60 days of departure require full payment. If the balance is not paid by the deadline, we may cancel the booking and the deposit will not be refunded.

Cancellation Policy

  • More than 60 days before departure: deposit is non-refundable.
  • 45–60 days before departure: 20% of total tour price is retained.
  • 30–45 days before departure: 50% of total tour price is retained.
  • Less than 30 days before departure: no refund.
  • After the trip has started: no refund.

Travel Insurance

Travel agency liability insurance covers liabilities legally attributable to the agency and does not replace personal travel insurance. We strongly recommend that travellers purchase suitable personal travel insurance.

Passport and Visa

Travellers are responsible for valid passports and required visas. Passports should remain valid for at least six months after the end of the trip. We may assist with permits for special regions such as Tibet but cannot guarantee government approval.

Photography

We may take and publish photographs during tours for promotional purposes. If you do not wish to be photographed, please tell your guide at the start of the trip.

Traveller Responsibilities

Travellers should select a trip appropriate to their interests and physical condition, maintain suitable health and prepare the personal items described in pre-departure information.

Third-Party Services

We arrange transport, accommodation and sightseeing through third-party suppliers and are not responsible for intentional or negligent acts of independent suppliers except where applicable law provides otherwise.

Dispute Resolution

Disputes should first be resolved through consultation. If no agreement is reached within 60 days after a claim is made, the dispute may be submitted to arbitration in China in accordance with applicable local rules.

Acknowledgement

By paying the deposit, you confirm that you have read, understood and accepted these booking terms, cancellation rules, limitations and traveller responsibilities.
